A procurement manager in London told us he now includes a documentation checklist in his initial RFQ. He said the responses alone tell him which suppliers are serious about compliance and which ones are hoping nobody asks. Factories with proper documentation respond within days with complete packages. The others either take weeks or never respond at all.

The gap between what a technical file says and what actually happens on the production floor is the most common issue we see in supplier evaluations. We have reviewed technical files that looked complete on paper. The risk management file was there.

The sterilization validation was there. The clinical evaluation was there. But when we compared the technical file against the batch records, the process parameters did not match.
Sterilization Cycle Parameters
The sterilization cycle parameters recorded in production differed from what was specified in the validation report. The in-process inspection points prescribed in the quality plan were not being performed. This gap is the source of most regulatory non-conformities.
Straightforward Batch Record
The fix is straightforward: ask for a batch record from a recent production run and compare it against the technical file before you commit to a purchase order.
